What is Robotic Process Automation (RPA)?

RPA is a suite of tools and software technologies that automate manual, rule-based, and repetitive human activities. These tools replicate the actions of an actual human interacting with one or more software applications to perform tasks such as data entry, processing standard transactions, creating reports, or responding to information queries. By supplementing or replacing manual bottlenecks, RPA helps you automate processes at scale.

See Rachel in action.

Rachel bridges the gap between personnel, an Enterprise Resource Planning (ERP) tool, a Human Resources Information System (HRIS), an informational website, and more – each with unique interface requirements.

The Scenario:

Some reports require human control or need to be produced only on-demand by a human analyst.

Rachel can assist the human analyst by combining automation and individual attention. The RPA system first receives and reads an email, simulating a human interface, and then acts on the requested tasks as required. These are tasks that can’t be scheduled because they are needed ad-hoc, must be analyzed immediately, are dependent on the completion of another task to run, or need input, like:

  • Creating specific reports to be attached to an invoice that need to be created after the invoice is approved
  • Posting costs
  • Adding accounting lines to a newly-created project setup
  • Consolidating receipts with an expense summary to be included as backup to an invoice

The Scenario:

Report creation is a time-consuming and tedious task requiring significant concentration and attention to detail when performed by a human.

We build tailored, flexible RPA processes that replicate the internal methods and data flow of a customer organization. One-time setup enables unlimited automation – scheduled at optimal times or available on-demand. An hour-long human process can be completed in 10 minutes with RPA, allowing team members to spend their time analyzing reports, not gathering information.

  • RPA automatically creates reports and delivers them to the applicable individual.
  • Reports are often specific to an individual contract, financial metric, or desired situation, but reports could also include multiple metrics, financial line items, or contracts.
  • Some reports require certain steps to be completed prior to the report creation, such as timesheets approved prior to posting or costs finalized prior to pulling a cost report.

The Scenario:

Boring tasking can lead to lower interest in the work by the employee, more errors due to inattentiveness, and lower staff well-being.

RPA automates all or a portion of these boring tasks to increase staff engagement and well-being. RPA processes system-specific data input tasks, ensuring that individuals are working with the most updated facts and figures in a timely manner. Rachel consolidates multiple files into one when necessary. She reviews system data for inaccuracies or missing information, reporting her findings to the correct individual.

  • A very basic, routine task that is required but boring can be automated on-time and with greater accuracy.
  • Reports can be generated overnight, compiled into the correct format, and made available to the team in the morning.
  • RPA can prompt people to make sure they input their timesheets daily, and send email to any delinquent users, white also reviewing those inputs for accuracy and associated content.

Now more than ever

Address the growing demand for accurate and timely data analysis, which is both mission critical and labor intensive, during a period of low labor availability across the DoD and other federal agencies.

It’s possible with RPA.
